Job Summary:
The Administrative Assistant will provide comprehensive administrative support to ensure the efficient operation of the office. This role involves performing a variety of tasks, including managing schedules, handling communications, and assisting with office management tasks. Students and fresh graduates may apply for this position.
Key Responsibilities:
- Office Support: Provide general administrative and clerical support.
- Scheduling: Manage and maintain executives' schedules, including arranging meetings, appointments, and travel arrangements.
- Communication: Handle incoming and outgoing communications, including phone calls, emails, and correspondence, ensuring timely and accurate responses.
- Document Management: Prepare and edit documents, reports, and presentations, maintaining accurate records and filing systems.
- Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
- Office Management: Assist with the day-to-day operations of the office, including ordering supplies, managing office equipment, and ensuring a tidy work environment.
- Data Entry: Accurately enter and updаtеdata in databases and systems, ensuring data integrity and confidentiality.
- Customer Service: Greet visitors and provide assistance, ensuring a positive and professional experience for all guests.
- Event Planning: Assist in planning and organizing company events, meetings, and conferences.
- Special Projects: Support various special projects and initiatives as needed, contributing to the overall efficiency and success of the team.
Qualifications:
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or related field preferred.
- Skills:
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle multiple tasks and prioritize effectively.
- Attention to detail and problem-solving skills.
- Professional demeanor and strong customer service skills.
- Ability to work independently and as part of a team.
- Discretion and confidentiality.
- Good knowledge of Chinese and English -must.
Working Conditions:
- Work Environment: Office-based with standard working hours; occasional overtime may be required.
