Job Summary:

We seek a detail-oriented and efficient Logistics Coordinator for the HRS EMEA region. The successful candidate will oversee customs clearance, build a network of customs brokers, manage supplier relationships, and handle the submission and tracking of software and cloud orders. This role requires strong organizational skills, effective communication, and proficiency with Oracle and ERP systems.

Key Responsibilities:

Customs Clearance Management:

• Coordinate with local customs authorities to arrange customs clearance within the EU.
• Establish and manage a chain of customs brokers across the EMEA region to support HRS offices with customs clearance.

Supplier Relationship Management:

• Manage relationships with local suppliers (hardware and software vendors such as TYNGO Ireland, SmartHotel, Simple Booking, Syrve, Fairmas, Infor, and FreedomPay) within the EMEA region.
• Request price lists, obtain quotes, and facilitate acceptance of quotations.
• Monitor deliveries to ensure they meet expected timelines.
• Verify and process invoices from suppliers.

Order Submission and Management:

• Submit software and cloud orders via Oracle’s portal, including registering End Users, communicating with End Users, assisting with TOMA and TCSA processes, and verifying all items according to active Oracle promotions.
• Handle software and cloud order submissions for major accounts, ensuring all items are verified against the current MAC price holds and promotions.

ERP and Order Record Keeping:

• Maintain accurate records related to submitted orders in the local ERP system.
• Regularly verify the correctness of Oracle invoices to ensure they align with order details.

Required Skills and Qualifications:

• Solid understanding of customs clearance procedures within the EU.
• Proven experience in supplier relationship management, particularly within the EMEA region.
• Proficiency with ERP systems.
• Excellent communication, organizational, and negotiation skills.
• High attention to detail and problem-solving capabilities.
• Ability to manage multiple tasks and prioritize effectively.
• Fluent English;

Preferred Qualifications:

• Experience within the tech or hospitality sector.
• Familiarity with the listed software and hardware vendors.
